1. Agreement to Terms

These Terms & Conditions (“Terms”) govern your use of VanBuild OS, operated by ROBURN GROUP LTD (“we”, “us”, or “our”), a company registered in England and Wales under company number 17152025, with registered office at 93 Cherry Tree Road, Axminster, United Kingdom, EX13 5GG.

By creating an account, accessing our applications, or using our customer portals, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, please do not use our services.

3. Accounts & Subscriptions

• You must be at least 18 years old to create an account.
• You are responsible for keeping your login credentials confidential.
• Workshop subscriptions (Free, Basic, and Pro tiers) are billed on a recurring monthly or annual basis via Stripe.
• You may cancel or amend your plan at any time through your workshop settings. Cancellations take effect at the end of the current paid billing period.

4. Acceptable Use

You agree to use VanBuild OS only for lawful purposes. You must not:

• Attempt to reverse engineer, decompile, or copy any part of the platform.
• Interfere with or disrupt the security or integrity of our systems.
• Upload malicious code, viruses, or defamatory or infringing content.
• Input fraudulent vehicle registration numbers (VRN) or falsified build records.

5. Intellectual Property & Content

You retain full ownership of all photographs, CAD diagrams, build specifications, client enquiries, and notes you upload or input to the platform. You grant us a limited, worldwide licence to host, display, and process your content solely to deliver the service.

All software code, designs, branding, and intellectual property in VanBuild OS remain the exclusive property of ROBURN GROUP LTD.

6. Digital Change Orders & Sign-Offs

When a customer approves or rejects a change order in the Customer Portal, the decision is recorded with a timestamp and user record. Both workshops and customers acknowledge that this digital sign-off serves as mutual evidence of agreed alterations to project scope and budget.

7. Non-Destructive Archiving & Soft Deletions

To uphold workshop audit integrity, vehicle conversion history, warranty continuity, and disaster recovery protection, VanBuild OS operates a non-destructive soft deletion policy. Items deleted in the interface (including campervan builds, tasks, attachments, comments, time entries, change orders, business enquiries, follow-ups, and scheduled appointments) are removed from active views but preserved securely within the database and underlying storage.

8. Limitation of Liability

Nothing in these Terms limits or excludes our liability for:

• Death or personal injury caused by our negligence;
• Fraud or fraudulent misrepresentation; or
• Any liability that cannot be excluded under applicable English law.

Subject to the above, our total aggregate liability arising out of or related to your use of the platform shall be limited to the subscription fees paid by you in the 12 months preceding the event giving rise to the claim (or £100 if you use a free tier). We are not liable for any indirect, special, or consequential losses, loss of business, or loss of profits.

9. Governing Law & Jurisdiction

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
